Touch Stay integrates with OwnerRez to import your properties and then automate the sending of invitations for confirmed bookings.
Table of contents:
Step 1. Connect your Touch Stay & OwnerRez accounts
Go to Integrations in the left sidebar of your Touch Stay account, open the Partners tab and click "Connect" underneath the OwnerRez logo. This will take you to the OwnerRez authorisation screen where you confirm giving access to Touch Stay.
Step 2. Match OwnerRez Properties
You can now match existing Touch Stay guides to your OwnerRez properties on the Match tab. Use the drop-downs to select the correct OwnerRez properties for each Touch Stay guide. When complete, click Match Selected. If you don't have any to match, simply move on to the Import tab.
Step 3. Import OwnerRez Properties
If you have any remaining unmatched properties from OwnerRez, go to the Import tab. Check the ones you want to import and click the Import Selected button.
Touch Stay will import the following:
Property Name
Property Address
Main photo
Each property imported will create a new Touch Stay guide.
Step 4. Complete guide creation (new Touch Stay customers only)
Now is the time to check the content of your guides to make sure they are ready to share with guests before you complete the integration and sync your OwnerRez reservations.
If you're new to Touch Stay then check out Guidebook Essentials for hints and tips on the quickest way to build out your guide content. If you have more than 20 properties, please contact us at [email protected] to find out more about our onboarding service.
Step 5. Personalisation settings
You can map OwnerRez property and reservation data fields to Touch Stay custom fields. These can then be inserted into guides and guest messages to personalise them for each reservation.
We have a separate article covering how to map and sync property data for further guide-level personalisation.
The following reservation data is imported automatically with each booking: guest first and last name, guest contact phone number*, guest contact email address*, arrival and departure dates, and check-in/check-out times.
*Some OTAs and booking sites do not always provide the guest email address or phone number so the availability of these two data points are dependent on the platform the guest used to complete their booking.
These OwnerRez fields are also available. They are optional, so they only come through once you map them to a Touch Stay custom field:
Reservation fields: ID, Adults, Children, Infants, Pets, Lock Code, Form Key (can be used to create links to the OwnerRez review page for each booking — see below), Listing Site, Notes, Guest Full Name, Booking Date, Lease Link, Total Rent, Total Surcharge, Total Tax, Total Guests
Property fields: Number of Bedrooms, Number of Bathrooms, Property URL
Any custom field definitions you've created in OwnerRez may also appear in the list.
To connect any of these fields, go to the Map data tab on the Integrations page and click Add new mapping.
From here you can select the OwnerRez data field to connect. Choose from an existing custom field or create a new one by giving it a name and any substitute value. Substitute values are used in the case of data missing when the field code is used — see Field Codes Explained for more detail about field codes.
Once the custom fields have been created, any future reservations which sync from OwnerRez will have the relevant data automatically populated for the reservation (invitation record) and can be used in Message Hub message templates and guide content.
Step 6. Sync reservations
Go to the Sync Reservations tab on the Integrations page (legacy Hub: Sync reservations).
Choose whether to import all your future reservations or only new ones. If you are new to Touch Stay then choose All reservations. If you were already using Touch Stay messaging before you connected your OwnerRez account, it's best to choose New reservations only to prevent duplicate bookings being imported.
If you want Touch Stay to send guide links back to OwnerRez, set this up now — see Step 7.
Select the guides you want to sync using the checkboxes — Select all is at the top, next to Sync Selected — and click Sync Selected.
Step 7. Guide sharing options
Using the steps below, you can create a custom field in OwnerRez that is automatically populated with the link to each of your guides. You can then add this custom field to your OwnerRez messages to ensure guests receive the guide that is relevant to their stay.
Step 1. Create the custom field that will store the link to your guide in OwnerRez
From within your OwnerRez account, go to the Settings page on the navigation bar and then scroll down to find "Custom Field Definitions" (it's in the "Workflow & Devices" section). Click on "+ Create Field Definition".
Be sure the Type is set to "Booking" and then give your field definition a Name and a Merge Code, then click Save.
Step 2. In Touch Stay, choose the field and activate the sync.
On the Sync Reservations tab, set Send links to OwnerRez to Yes and then, from the dropdown, choose the OwnerRez custom field created in Step 1 above. Select the guides to sync and click Sync Selected. For guides that are already syncing, click Resync Guides when it appears to apply the change.
ℹ️ With Send links to OwnerRez set to Yes, bookings that have no guest email and no phone number are also added as link-only invitations, so they still get a guide link you can share through OwnerRez.
Step 3. Add the custom field containing your guide link to any relevant message templates in OwnerRez.
Wherever you place this custom field in an OwnerRez message template it will be replaced by the link to your Touch Stay guide when the message is sent out.
Pro-tip: if you add your custom field to a link in your OwnerRez message template then this will create a clickable link for your Touch Stay guide in your OwnerRez message. To do this you will first need to copy your custom field and then use the link icon on the OwnerRez message template toolbar. Select "Custom Web address" for the link Type and then paste your custom field into the URL box.
Contact OwnerRez support if you need any help in creating message templates and using Custom Field Definitions in OwnerRez.
WARNING: A note about OwnerRez message timing: there will be a slight delay between the booking arriving in OwnerRez and the link being sent back from Touch Stay whilst our respective systems process the booking, generate the link and pass it back. Therefore we recommend NOT adding your Touch Stay guide link custom field to OwnerRez messages that are sent out as soon as the booking is received. Instead, we recommend sending a message the next day that's dedicated to introducing guests to everything they'll find in your guide book.
How to add OwnerRez review links to your guide or message templates
OwnerRez also has a unique review page for each booking and you can add links to these to your guide or Message Hub message templates. The first step is to create a custom field code to hold the unique token from OwnerRez. It's called the "Form Key" in OwnerRez and this is one of the fields available for mapping to a Touch Stay custom field code.
Go to the Map data tab on the Integrations page and click Add new mapping. In the OwnerRez field dropdown choose Form Key. Now give your custom field code a name such as review_id and then Save.
You now need to create the link and insert the custom field code, along with a fixed element from the OwnerRez link shortener. The process is the same whether you're adding the link to some topic content or a Message Hub message template. Use the link icon in the text entry box toolbar and in the URL box enter the following – note the review_id element must match exactly with the name you chose for your custom field in the first step:
How to resync reservations after changing settings
If you change a setting on the Sync Reservations tab while guides are already syncing, use Resync Guides to apply the change to them.
Go to the Sync Reservations tab on the Integrations page (legacy Hub: Sync reservations).
Change a setting, such as Sync option or Send links to OwnerRez. If at least one guide is already syncing, Resync Guides appears.
Click Resync Guides. It applies to every guide that is already syncing.
What happens next depends on your Sync option:
All reservations: Touch Stay imports your future reservations again for the synced guides. A progress bar shows while it runs. It can take some time, and you can check back later.
New reservations only: Touch Stay saves your settings but doesn't start a new import.
Invitation settings is always on this tab. It opens Edit Invitation Defaults, where you set the Default Lead Time and Default Allow Access after Departure Date for invitations created from your synced reservations. Click Submit to save.
