Table of contents:
You can give other people access to your Touch Stay account by adding them as a user. You can manage the level of access each user has as well as the actions they can perform by assigning a user role. Some user roles have reduced access and limitations on the actions they can take within your account, such as upgrading your subscription or adding other users.
Users are managed from the Team page, which works the same way in both Hubs:
New Hub: open your profile menu in the left sidebar and click Team
Legacy Hub: Profile → Team
There are 5 types of user roles:
Owner. The Owner user role is fixed to the person who created the account. The Owner has full, unrestricted access to everything in the account. The only limitation is they cannot change their own role or delete their own user record. If you need to change the login email of the Owner, this can be done from the account profile.
Admin. The Admin user role has full access to your account and can carry out all actions as if they were the Owner. Admins can upgrade your subscription, edit or delete templates, guide content, guides, manage integrations and add or amend other users. Admins automatically have access to all templates. The only limitation is that they can't delete the Owner user or their own user record.
Team Admin. The Team Admin user role can be limited to specific templates, but within those templates they have access to most functions. Team Admins can edit or delete the templates they have access to, update guide content and guides, and manage integrations. They can also add new team members, but only as Team Admin, Editor or Viewer, and only with access to templates the Team Admin can access themselves. Team Admins can't give anyone the Admin role, can't change or delete the Owner, Admins or other Team Admins, and can only resend invites to or delete Editor and Viewer users. They also can't update the subscription or make changes to templates they don't have access to.
Editor. The Editor user role can edit or delete templates, guide content, guides and manage integrations. The Editor role cannot upgrade the subscription or add or amend any users. Editors can also have their access restricted to specific templates.
Viewer. The Viewer user role cannot make any changes to your account. They are able to view your templates, guide content and guides but they do not have access to subscriptions, users or integrations. Viewers can also have their access restricted to specific templates.
How to add new users
Open the Team page (see above) and click Add new user. Add the new user's email address, role and select which templates they can have access to (not needed for Admins, who get access to all templates). The new user will then receive an email with a link to complete their registration and be able to access your Touch Stay account.
ℹ️ User limit: the number of team users you can have depends on your plan, and the Owner counts as one of them. If you've reached your limit, clicking Add new user shows an upgrade prompt instead of the invite form. Removing a user frees up their place.
How to remove users
From the Team page, click the 3 dots next to a user's details and click Delete. Once deleted, their access will be removed immediately.
How to update the role of a user
From the Team page, click the 3 dots next to a user's details and click View/edit. You can adjust the user's role and the templates they have access to. The user may need to refresh their screen after having their role changed.
How to reactivate a user
From the Team page, click the 3 dots next to a user's details and click Resend invite. The user will receive a new link to confirm their access and once accepted they will regain access to your account through their own login.
Resend invite also works for invitations that were cancelled or declined, and for users you previously deleted. If you try to add the same email address again with Add new user, it may be refused, so use Resend invite instead.
