How to create a Memo invitation

Memo, Touch Stay's messaging assistant lets you schedule and send email and text messages to your guide users. See how to set up your templates here.

What is an invitation?

Once your message templates are set up, you need to create invitations. Invitations contain the name, contact details and other information about your guide users. We use this information to create:

  • The invitation record - this holds the guide user information that is used to schedule your messages
  • The invitation link - the customised, trackable guide link that will be sent to each guide user in your message templates

Once invitations have been created they will trigger the messaging flow you set up in Memo, whether that's emails or text messages.


How to create invitations

To manually create an Invitation go to Memo > Invitations and click 'Invite by email/SMS'. Note: if you have not already created your message templates you will see a pop-up asking you to go and do that first.)

Fill in the information of the person you want to create a link for including their name and contact details and any field codes. You must add either a phone number or email address. If you want your link to expire after a certain time, use the lead time box to set a time limit. If you do not want the link to expire, choose 'Unlimited', then click 'Next'.

The messages scheduled to send for this invitation will be displayed. You can edit the invitation details or make adjustments to the content, or status, of messages from this screen. You can also add a custom, one-off email or text message by clicking 'Add email message' or 'Add SMS message'. Once you are happy, click 'Submit'.

You will now be able to see all of the invitations you have created and make any future adjustment by clicking the 3 dots menu to the right of each invitation.

  1. Upload invitation data via CSV file

You can upload a CSV format excel file containing data about your guide users, whether they are guest reservation details, event attendees details, or information for any other type of person who is using your guide. With these details you can automatically create the invitation record and invitation link in bulk, rather than doing it manually. See how to do that here
