What is the Guidebook PIN Authentication Feature?

The Guidebook PIN Authentication feature allows property managers and owners to secure their guidebook content with a 4-digit PIN. This ensures only authorized guests can access the guidebook, providing additional security for sensitive information such as internal cleaning guides, guest instructions, or private content.

Why Use Guidebook PIN Authentication?

Some property managers want more control over who accesses their guidebooks. This feature helps by:

  • Allowing only guests with the PIN to access the guidebook.
  • Securing internal documents such as cleaning guides or operational notes.
  • Ensuring privacy for sensitive guest information.
  • Offering an easy-to-use 4-digit PIN system instead of complex passwords.



How It Works

For Guests (Accessing a Protected Guidebook)

  1. When a guest attempts to open a PIN-protected guidebook, they will see a locked screen prompting them to enter the 4-digit PIN.
  2. Guests enter the PIN and click Continue.
  3. โœ… If the PIN is correct, the guidebook unlocks instantly.
  4. โŒ If the PIN is incorrect, an error message appears, and they can try again.

๐Ÿ”น Guests only need to enter the PIN once per device unless they switch browsers or clear cookies. However, they will need to enter the PIN again when opening new tabs, but not after a page refresh.




How to Enable PIN Authentication

For Guidebook Owners (Setup Process)

  1. Log in to your Touch Stay Owner Portal.
  2. Navigate to Guides section and select the guidebook you want to protect.
  3. Locate the PIN Access section under the "Guides Details" tab settings.

  1. Click on Edit button to launch the setup window.
  2. Create a 4-digit numeric PIN and click Save.

โœ… Once enabled, only guests with the correct PIN will be able to access the guidebook. Important: Donโ€™t forget to share the guidebook PIN with guidebook visitors so they can access your guidebook.




How to Share the PIN with Guests

  • Using Memo Messages:
    • If you use Memo messages, you can automatically insert the PIN into guest communications using the new {{invitation_pin}} field code.
    • The PIN will be included in guest email or SMS invitations.
  • Manual Sharing:
    • You can share the PIN via your own communication channels, such as email, SMS, or booking confirmation notes.

Is PIN Authentication mandatory?

  • No, it is an optional feature that property managers can enable or disable.

Can guests update their PIN later?

  • No, guests do not set their own PINs. The property manager controls PIN settings.

Will guests have to enter the PIN every time they open the guidebook?

  • No, the PIN is required only once per device, unless cookies are cleared or a new browser is used. However, users will need to enter the PIN again when opening new tabs, but not after a page refresh.

Can I disable PIN protection later?

  • Yes, you can disable it by clicking on the Edit button in the PIN access section and changing the feature state to Disabled, then confirming by clicking Save.
