Stayntouch Integration
Connect your Touch Stay and Stayntouch accounts to import Stayntouch room types & reservations data into your guides and make it easier to share guides with your guests.

The steps to complete your integration:
- Step 1: Connect your Touch Stay & Stayntouch accounts

Step 1. Connect your accounts
Contact your Stayntouch support team for integration. They will provide you with either of the two options:
- An email with CLIENT_ID & CLIENT_SECRET, WEBHOOK_SECRET, and HOTEL CODE values - send this to us, and we'll continue with the connection.
- Login credentials - In this case, you may go to Integrations in your Touch Stay account, go to the Partners tab, and click “Connect" underneath the Stayntouch logo. This will take you to the Stayntouch login screen, where you will be asked to log in. After logging in to your Stayntouch account, you will be redirected back to Touch Stay and will automatically connect the integration.
Step 2. Match Room Types
Once authorised, you can match your existing Touch Stay guides to your Stayntouch room types.
- Go to the Match tab on the Integrations page.
- Use the drop-down menus to select the correct Stayntouch listing for each Touch Stay guide.
- When you’re done, click Match Selected to save your matches.

If you don’t see any guides listed on this step, don’t worry, you can skip straight to Step 3.

Step 3. Import Room Types
If you still have any unmatched Room Types from Stayntouch, you can easily import them into Touch Stay.
- Go to the Import tab on the Integrations page.
- Tick the box next to each room type you want to import.
- Click Import Selected to add those room types to your Touch Stay account.
💡 Tip: Once imported, your new guides will automatically appear in your Guides list and be ready to set up.

What Touch Stay Imports
When you import from Stayntouch, Touch Stay will bring in the following details:
- Room Type Name
- Room Type Address
- Cover photo
Each room type imported will create a new Touch Stay guide.
Step 4. Complete guide creation (new Touch Stay customers only)
Matching or importing your room types won’t automatically start syncing reservations from Stayntouch.
Before enabling the sync, take a moment to review your guides and make sure all the content is ready to share with guests.

Step 5. Personalisation settings
You can map Stayntouch listing and reservations data fields to your Touch Stay custom fields or topic customisations.
This allows you to automatically personalise your guides and guest messages for each reservation, for example, by showing the guest’s name or stay dates inside your welcome book.
The steps below explain how to map and sync reservations data from Stayntouch to your Touch Stay account.

Automatically Mapped Fields
The following Stayntouch reservations fields are automatically linked to standard field codes in your Touch Stay account:

⚠️ Note: Some OTAs or reservations sites don’t always provide the guest’s phone number or email address, so these details may vary depending on where the reservations came from.
Optional Fields You Can Manually Map
These additional Stayntouch reservations fields are available through the integration and can be manually mapped to your own Touch Stay custom fields:

How to Map Custom Fields
- Go to the Integrations page.
- Open the Map Data tab.
- Click + Add New Mapping.
- Select the Stayntouch field you want to connect.
- Choose a name for your custom field code and, if needed, add a substitute value.
- 💡 Tip: Substitute values are used when data from custom fields is missing at the time the field code is used
- For example, if a custom field, such as Number of adults or Number of children, isn’t provided, you could display a message like “Contact us if this information is missing.”

- Once your custom fields are mapped, any future reservations synced from Stayntouch will automatically populate those fields on the Touch Stay Invitation record.
💡 Tip: You can then use this data in your Message Hub templates and guide content to personalise the guest experience.

Step 6. Guide sharing options
There are two main ways to send guide links to guests:
1. To automatically share a trackable guide link for each reservation, you can send email or text message guests through Memo, Touch Stay's messaging tool. The reservations from Stayntouch will then follow your message workflow you set up and any default settings as defined by the templates that you create.

2. If you are using Stayntouch message inbox to communicate with guests, you can copy and paste the relevant guide link into your Stayntouch message templates using the Quick share link that you can copy from the Invite & Share tab in the Guides page:

Step 7. Sync Reservations
Sync Stayntouch reservations with your Touch Stay account and complete the integration.
Here you can choose whether to import all your existing reservations or only import new reservations.
- If you are new to Touch Stay and not yet using the Memo messaging tool then choose 'All reservations'.
- If you are already using the Memo messaging tool, then choose 'New reservations only' to prevent duplicate Memo messages being sent to existing reservations.
If you have selected 'All reservations' then all existing reservations from Stayntouch will now be imported.
Next, choose whether all confirmed reservations should be imported or only those where the full payment has been received. This is based on the Payment Status field in Stayntouch being set to 'Fully paid'.
To complete this step, go to Integrations > Sync reservations and select the guides you want to sync using the checkboxes. Use the ‘Select all’ option to select all in one go. Click 'Sync selected'.
