Guide-level data mapping with Guesty Pro

Learn how to map Guesty listing data to your Touch Stay guides using Guide Custom Fields or Topic Customisations. Automatically sync Wi-Fi details, house rules, parking information, custom fields and more

Guide-level data mapping lets you automatically sync listing and reservation data from Guesty Pro into your Touch Stay guides. This article covers everything you need to set it up, from understanding the two mapping types to adding fields to using your data inside guide content.


Understanding Data Sources in Guesty Pro

When creating a new mapping, you'll be asked to choose a mapping type. The right choice depends on whether the information changes per reservation or stays the same per property.

User/Guest Custom Field

Use this for information that changes with every reservation, such as:

  • Reservation number

  • Door code (if it's different for each booking)

This data is linked to the reservation and only appears when a guest opens their personalised invitation link.

Guide Custom Field

Use this for information that belongs to the property and stays the same across all reservations, such as:

  • Wi-Fi details

  • Parking information

  • House rules

  • Cleaning instructions

This data is linked to the property listing and displays in the guide itself

Additional fields you can map

On top of the fields that are automatically mapped at setup, Guesty provides several additional fields you can manually map for more advanced personalisation:

💡 You can also create your more custom fields directly in Guesty Pro and map those to Touch Stay too, giving you full flexibility over what data appears in your guides.


Choose how you'd like to display your data

There are two ways to bring Guesty data into your guides, depending on how much content you're syncing and where you want it to appear.

Option 1. Guide Custom Fields

Best for short pieces of information you want to drop into an existing topic, such as:

  • Wi-Fi username

  • Wi-Fi password

  • Parking space number

  • Door code

  • Number of guests per reservation

Once mapped, you insert the field into your topic content using a field code. Each guide will automatically display the correct information from its Guesty listing.

How to create a mapping with a Custom Field

  1. Go to Integrations

  2. Click Map Data.

  3. Click + Add new mapping

  4. Select the Guesty data field you'd like to sync

  5. Choose an existing custom field, or click + New Custom Field to create one. If creating a new custom field:

  6. Enter a Field Code. We recommend adding _Guesty to the end (e.g. door_code_Guesty) so it's easy to identify where the data is coming from

  7. Optional - Add a Substitute Value (see below) to display when data is missing.

  8. Click Save.

Substitute Value

A substitute value is a fallback for when Guesty doesn't provide data for a particular reservation or property. Instead of showing a blank field, Touch Stay will display your substitute instead. For example:

  • Contact us if this information is missing

  • Not provided

  • Please ask your host

Using Your Custom Fields Mapped Data

Once a field has been mapped, you can use it throughout Touch Stay, including:

​Topic content

Under your Content Hub, open any topic and click the Field Codes button. You'll see all available fields from the Guesty integration, guest details, arrival and departure dates, check-in and check-out times, and any additional fields you've mapped.

Insert them directly into your content to personalise each guest's experience automatically.

In Message Hub Touch Stay templates

The same field codes work inside your Message Hub message templates so that you can send personalised guest communications without any manual updates per reservation.

Option 2. Topic Customisations

Best for longer content that deserves its own topic in the guide, such as:

  • Parking instructions

  • How to access the property

  • Appliance instructions

  • House rules

  • Cleaning instructions

  • Property-specific amenities

Touch Stay creates a customised version of the selected topic for each guide, using the content stored in the corresponding Guesty listing.

⚠️ Heads up: You'll need to create the topic in your Content Hub before it can be selected here. We recommend building your master topic first, then coming back to map the Guesty data to it.

How to create a mapping with Topic Customisations

  1. Go to Integrations.

  2. Open the Map Data tab.

  3. Click + Add New Mapping.

  4. Select the Guesty data field you'd like to sync.

  5. Under Mapping Type, select Topic Customisation.

  6. Choose the Touch Stay topic you'd like to populate; you can search by name

  7. Choose a Visibility Override Rule (see below)

  8. Click Save

Visibility Override Rules

These rules control whether a topic appears on a guide based on whether Guesty listings have data for it.


There are three visibility options to choose from, depending on whether the data is available for every property and how you've set up your tags.

None

This is the simplest option.

The sync process won't make any changes to the topic's visibility. The topic will continue to appear based on its active tags.

Use this option if:

  • The data is always present in Guesty, or

  • You have a generic version of the content for that topic added to Content Hub which you would like to show in the absence of listing-specific content in Guesty.

Hide topic if content is blank

Choose this option if the mapped data isn't available for every property in Guesty

During the sync process, if a Guesty listing doesn't contain any data for the mapped field, the topic's Visibility Rule will automatically be set to Always Hide, so it won't appear on that guide.

Show topic if content is not blank

This option works in the opposite way.

If a Guesty listing contains data for the mapped field, the topic's Visibility Rule will automatically be set to Always Show for that guide.

This works well for optional topics that don't have a tag assigned in the Content Hub, allowing the topic to appear only on guides where Guesty contains relevant information.


Formatting synced content from Guesty Pro

If you're syncing longer text fields, you can use simple HTML tags inside Guesty to control how the content displays in Touch Stay. This applies to both Guide Custom Fields and Topic Customisations.

Without any formatting, long text can arrive as one unbroken block. Adding a couple of HTML tags in Guesty fixes this.

Example - unformatted:

There is one free parking space available for guests in spot 24. Please make sure the parking permit is always displayed on the dashboard of your car. Additional street parking is available on Oak Street after 6pm.

Example - formatted in Guesty:

Parking Information<br><br>There is one free parking space available for guests in spot 24.<br><br>Please make sure the parking permit is always displayed on the dashboard of your car.<br><br>Additional street parking is available on Oak Street after 6pm.

When it syncs to Touch Stay, the content will display with proper spacing and be much easier for guests to read.

💡 If you need help editing custom fields or adding HTML formatting in Guesty, reach out to Guesty Support. These fields are managed within your Guesty account


Syncing the guide data

The system pulls in updates from Guesty Pro automatically once every 1 hour.

If you've just made a change and don't want to wait, you can trigger a manual sync any time.

Resync all guides

  1. Go to Integrations.

  2. Open the Map Data tab.

  3. Click Resync Guide Data (located below the Guesty logo).

This will sync all mapped data for every guide.

💡 Good to know

If you have a large number of guides or mapped fields, the sync may take a few minutes to complete.

Resync a single guide

  1. Go to the Guides page.

  2. Open the guide you'd like to update.

  3. Open the Guide Details tab.

  4. In the Guesty Integration section, click Edit.

  5. Click Resync guide data.


FAQs

I updated a property custom field in Guesty, but I can't see the changes in Touch Stay

Property data is automatically synced from Guesty to Touch Stay once every 1 hour.

If you need the changes to appear sooner, you can manually trigger a sync from either the integration page or the guide level.
