How to review and approve Content Collection forms

The Content Collection feature of Touch Stay is an advanced feature to support property managers obtain information about the homes they manage, directly from the property owners. If you would like to use this feature in your account, then please reach out to support, who will activate it for you (free of charge).

This article explains how to review and approve completed forms for Content Collection templates that are not set to automatically update the live guide (this is based on a setting when creating the form template).


How to know which forms are ready for your review

The forms table on the Content Collection Forms tab shows the status of each form. Any that are "Awaiting Approval" have been completed by the Owner and are now waiting for your review and final approval to update the live guide.

The filter can be used to filter the table to only those forms needing your review. There is also a sort option on the "Last submission date".

How to review and approve completed forms

To open a form and view the newly completed version, click on the 3 dots menu for the form and select "View form".

The next screen shows all the completed versions of this form, the most recent one will have a status of "Awaiting Approval". Click the 3 dots menu and select "View version".

Here you will see the all the answers provided by the owner in a single screen. Scroll down and review each of the sections, and their answers. You can make changes directly on the screen to update any of the answers, and use the Save button at the bottom to save them to this version. 

If you need to contact the owner to ask them to add more detail, then you can send them a templated prompt asking them to review the answers given by using the "Send prompt to owner" button. See this article for more detail about creating email prompts.

Once you're happy with all the answers, use the Approve button at the top to approve the form. This will now update the guide immediately with all the content in this version of the form.

The next time the form link is accessed, a new version of the form will be generated for the owner to complete and submit once again. The new form will show the current version of any answers as the starting content, meaning your owners will only ever need to edit the previous content and not start from scratch each time.
