Touch Stay integrates with Track so you can take the manual workload out of your day. Connect your Touch Stay andTrack accounts to import your property inventory, sync reservations and easily share your guide link with guests.

Complete the following steps using the tabs on this page to complete the integration:

Step 1. Connect your Touch Stay & Track Accounts accounts

First, you need to obtain your API details from Track.

Log-in to your TRACK account (make sure you have a role that allows access to company configuration, including API key access).

  1. At the top right of the homepage, click on the gear icon to go to the configurations page then click on the 4th tab, labelled “company setup”
  2. On the bottom left side of the page, click on the link for “API Keys”. You will see a screen of all API keys on your system. To create a new API key, click on the “+ Server Key” Button at the top right

 3 . Enter the name of the new API key, and then save it to generate the keys. Copy the Key and Track token secret.

Once you have your API token and secret from Streamline, go to the Integrations page in your Touch Stay account, go to the Partners tab 

4 . Log into Touch Stay and go to the Integrations page. Select the Partners tab Accounts tab and click “Connect”underneath the Track logo. Enter your API Key, Track token secret and Track domain name and click save. You Track domain name is the unique part of your Track login url as in this format: https://[domain_name].trackhs.com/

Step 2. Match Track properties

Once connected, go to the Match tab to pair any existing Touch Stay guides to your Track properties. Use the drop-downs to select the correct Track properties for each Touch Stay guide. When complete, click “Match Selected”. If you don’t have any to match, then just click “Skip”.

Step 3. Import Track properties

If you have any remaining unmatched units from Track go to the Import tab to import those into Touch Stay. Simply check the ones you want to import and click the “Import Selected” button. If you don’t want to import any, or don’t have any remaining, then just click “Skip” whilst leaving the selections blank.

Touch Stay will import the following and create a guide record for each:

  • Property Name
  • Property Address 

Each unit imported will create a new Touch Stay guide.

During the import process you will see a blue progress bar. If you have a lot of properties it may take several minutes to complete, if you prefer, you can just click away and come back later to check on the progress. Perfect time to go and make a cup of tea ☕.

Once the process has finished your connection with Track will be complete!

Step 4. Complete guide creation (new Touch Stay customers only)

Matching or importing rentals won’t automatically sync reservations from Track, so now is the time to check or create the content of your guides and make sure they’re in tip-top shape and ready to share with your guests.

Step 5: Personalisation settings

You can connect custom field codes created in Touch Stay to additional fields through the Track. This will then mean any values/data for these fields set inTrack will pass into Touch Stay and can be added to your Memo message templates and guide content. The available fields and their data types are as follows:

  • Door Code (data type: Text)
  • Unit ID (data type: Text) 
  • Unit Code (data type: Text) 
  • Unit Name (data type: Text) 
  • Early Arrival (data type: Yes/No) 
  • Late Departure (data type: Yes/No) 
  • No of Nights (data type: Number) 
  • Arrival Time (data type: Text)  
  • Departure Time (data type: Text) 
  • Guest first name (data type: Text) 
  • Guest last name (data type: Text) 
  • Arrival date (data type: Number) 
  • Departure date (data type: Number) 
  • Guest contact phone number* (data type: Number) 
  • Guest contact email address* (data type: Text) 

*Some OTAs and booking sites do not always provide the guest email address or phone number so the availability of these two data points are dependent on the platform the guest used to complete their booking.

To connect any of these fields to Touch Stay head to the custom data mapping tab on the Integrations page and click the '+Add new mapping' button.

Next, choose a name for your custom field code and any substitute value. Substitute values are used in the case of data missing when the field code is used, see this article for more detail about field codes. Click Save when done. Repeat this step for any other available field code you want to map over to Touch Stay.

Step 6. Guide sharing options

There are two main ways to send your guide link to guests.

To automatically share a trackable guide link for each booking you can send email or text message guests through Memo, Touch Stay's messaging tool. The reservations from SuperControl will then follow your message workflow you setup and any default settings as defined by the templates that you create.

If you are using SuperControl message inbox to communicate with guests you can copy and paste relevant guide link in to you SuperControl message templates using the Quick share link that you can copy from the Invite & Share tab in the Guides page:

Step 7. Sync reservations

Once your guides are ready then you can start syncing with Track.

Go to the Sync reservations tab on the Integration page. Select the guides you want to sync using the checkboxes.

Use the “Select All” option at the top right of the page to select all in one go. Click Sync selected to submit.

 

Here you can choose whether to import all your future reservations or have Touch Stay only import new reservations.

  • If you are new to Touch Stay then choose “All reservations”.
  • If you are already a user of Touch Stay messaging before you connect your Track account, then it’s best to choose “New reservations only” to prevent duplicate reservations being imported.

This process can take several minutes to complete depending on the number of reservations active in your Track account. There's a progress bar but you can click away from the screen and come back to check on progress later.

If you have selected “All reservations” then all your future dated reservations from Track will now be imported and will generate invitations in Touch Stay.

All future reservations will also now be imported automatically. If you have created Memo message templates then each invitation will have the relevant email or SMS messages scheduled, based on the booking details and your Touch Stay message templates.
