Escapia Integration

Connect your Touch Stay and Escapia accounts to import Escapia property & reservation data into your guides and make it easier to share guides with your guests.

Complete the following steps using the tabs on this page to complete the integration:

Step 1. Connect your Touch Stay & Escapia accounts

Email Escapia API Support at partnersupport@escapia.com and ask them to add Touch Stay to the HSAPI partner list for your account. Escapia support will add Touch Stay to the HSAPI partner list, and then send out the list of steps that need to be completed in Escapia to set up the connection.

Next, come back to Touch Stay go to Integrations and click Connect under the Escapia logo. Paste your Escapia Account number (aka PMC ID) into the box and click Save.

Step 2. Match Escapia properties

You can now match existing Touch Stay guides to your Escapia properties. Go to Integrations > Match and use the drop-downs to match the correct Escapia property for each Touch Stay guide. When the matching is complete, click 'Match selected'.

Step 3 . Import Escapia units

If you have any remaining unmatched properties from Escapia, go to Integrations > Import. Click the remaining properties you want to import and click ‘Import selected’.

Each imported property will create a new Touch Stay guide and populate them with the following details from Escapia:

  • Property Name
  • Property Address
  • Property Location

Step 4. Complete guide creation (new Touch Stay customers only)

Now is the time to check the content of your guides to make sure they are ready to share with guests before you complete the integration and sync your Escapia reservations.

Step 5: Personalisation settings

You can map Escapia property & reservation data fields to Touch Stay custom fields or topic customisations. These can then be inserted into guides and guest messages to personalise them for each reservation. The following paragraphs explain how to map and sync Escapia reservation data to your custom fields or topic customisations.

The following Escapia reservation data fields will be automatically mapped to standard field codes in your Touch Stay account:

  • Guest first name
  • Guest last name
  • Arrival date
  • Departure date
  • Guest contact phone number*
  • Guest contact email address*

*Some OTAs and booking sites do not always provide the guest email address or phone number so the availability of these two data points are dependent on the platform the guest used to complete their booking.

The following Escapia reservation data fields are also available through the integration. They are optional and can be manually mapped to a Touch Stay custom field: 

  • Check In time 
  • Check Out time
  • Reservation Number 
  • Door Code – this option will connect both regular door codes and Kaba lock codes

To connect any of these optional data fields to Touch Stay custom fields go to Integrations > Map data and click the '+Add new mapping' button. 

From here you can select the Escapia data field to connect. Choose from an existing custom field or create a new one by giving it a name and any substitute value. Substitute values are used in the case of data missing when the field code is used, see this article for more detail about field codes.

Once the custom fields have been created, any future reservations which sync from Escapia will have the relevant data automatically populated for the reservation (invitation record) and can be used in Memo message templates and guide content.

Step 6. Guide sharing options

There are two main ways to send guide links to guests:

1. To automatically share a trackable guide link for each reservation you can send email or text message guests through Memo, Touch Stay's messaging tool. The reservations from Escapia will then follow your message workflow you setup and any default settings as defined by the templates that you create.

2. If you are using Escapia message inbox to communicate with guests you can copy and paste relevant guide link in to you Escapia message templates using the Quick share link that you can copy from the Invite & Share tab in the Guides page:

Step 7. Sync reservations

Sync Escapia reservations with your Touch Stay account and complete the integration.

Here you can choose whether to import all your existing reservations or only import new reservations.

  • If you are new to Touch Stay and not yet using the Memo messaging tool then choose 'All reservations'.
  • If you are already using the Memo messaging tool, then choose 'New reservations only'  to prevent duplicate Memo messages being sent to existing reservations.

If you have selected 'All reservations' then all existing reservations from Escapia will now be imported.

Next, choose whether all confirmed reservations should be imported or only those where the full payment has been received. This is based on the Payment Status field in Escapia being set to 'Fully paid'.

To complete this step, go to Integrations > Sync reservations and select the guides you want to sync using the checkboxes. Use the ‘Select all’ option to select all in one go. Click 'Sync selected'.
