How to share only part of your guide (e.g. local area information)

Send a limited version of your guide (such as local area tips) while keeping check-in details and sensitive information hidden.

Table of contents:

What this allows you to do

You can share only part of your guide with guests.

This is useful if you want to:

  • Send local area recommendations before arrival

  • Share helpful information without revealing check-in details

  • Keep sensitive content (like door codes) private

  • Give guests a preview of your guide

Step 1: Choose what to show

Each topic has an Access level that decides when guests can see it:

  • Always visible: anyone with a link to the guide can see the topic.

  • Visible only during the stay: guests with a personal invitation link see the topic only around their stay dates.

To change a topic's access level:

  1. Open Account library → Content Hub.

  2. Open the topic.

  3. Go to its Visibility tab.

  4. Under Access level, choose Always visible or Visible only during the stay.

For example, set your local area, restaurant and tips topics to Always visible, and your check-in instructions and access details to Visible only during the stay.

Step 2: Create your guide link

There are two kinds of link, and they treat the access level differently.

Option 1: Quick Share link (shows the full guide)

  1. Open Guidebooks and choose the guidebook in the Editing guidebook dropdown.

  2. Click Invite guests, next to the guidebook selector.

  3. Under Quick share link, click Copy.

⚠️ The Quick Share link ignores access levels. It shows your full guide, including topics set to Visible only during the stay. Don't use it if you want to keep something hidden, such as a door code.

Two things still apply on the Quick Share link: topics you've hidden from this guidebook, or whose tags don't apply to it, stay hidden. And if the guidebook has a PIN, Quick Share visitors are asked for it as normal.

Option 2: Personal invitation link (shows only part of the guide)

An invitation link respects the access level, so topics set to Visible only during the stay stay hidden until the dates you choose.

  1. Open Messaging & Chat → Invitations.

  2. Click Invite guests, then choose Invite new contact.

  3. Choose the guidebook and enter a first name. 💡 Use something like “Website Preview” so you can recognise this link later.

  4. Under Arrival & departure, set the Check-in date and time and Check-out date and time far in the future.

  5. Leave the email and phone fields empty. The invitation is then link-only, so no messages are sent.

  6. Click Next and finish creating the invitation.

  7. In the Invitations list, open the invitation's menu and choose Copy link.

⚠️ Door codes: check which kind you're using. A code you've typed directly into a topic is part of the guide content, so anyone with the Quick Share link can read it, whatever the topic's access level. A code that comes from the invitation (a per-reservation lock code, or a Field Code filled in per guest) isn't available on the Quick Share link at all, so it can't be exposed that way. If you keep a single reusable code typed into your guide, don't share that guide by Quick Share link.

When to use each option

  • Want to share everything → use the Quick Share link

  • Want to share only part of your guide → use a personal invitation link

Notes

  • If you change a topic's access level, guests see the change the next time they open the guide.

  • If you want a completely different version of your guide (e.g. public vs guest), you may want to create a second guide.
