Lodgify Integration

Touch Stay integrates with Lodgify to import your rentals and then automate the sending of invitations for confirmed reservations.

Lodgify and Touch Stay

Table of contents:

Step 1. Connect your Touch Stay & Lodgify accounts

The first step is to find your Lodgify Public API key. Log in to your Lodgify account and then open the main Lodgify menu and select Settings:

Lodgify settings

Next, click on "Public API" from the left hand menu and then copy your personal API key:

Next, go to Integrations in the left sidebar of your Touch Stay account, open the Partners tab and click "Connect" underneath the Lodgify logo. Paste your Lodgify API key into the box and click Save.

Step 2. Match Lodgify rentals

Once authorised, go to the Match tab to pair any existing Touch Stay guides to your Lodgify rentals. Use the drop-downs to select the correct Lodgify rental for each Touch Stay guide. When complete, click Match Selected. If you don't have any to match, simply move on to the Import tab.

Step 3. Import Lodgify rentals

If you have any remaining unmatched units from Lodgify go to the Import tab to import those into Touch Stay. Simply check the ones you want to import and click the Import Selected button. If you don't want to import any, or don't have any remaining, simply move on to the next step.

Import tab

Touch Stay will import the following:

  • Rental name

  • Rental address

  • Rental location

  • Rental photo (very small images are skipped)

Each rental imported will create a new Touch Stay guide.

Step 4. Complete guide creation (new Touch Stay customers only)

Matching or importing listings won't automatically start syncing reservations from Lodgify, so now is the time to check the content of your guides and make sure they're ready before you sync reservations with Lodgify.

If you're new to Touch Stay then check out the Getting Started page for hints and tips on the quickest way to build out your welcome book content.

Step 5. Personalisation settings

You can connect custom field codes created in Touch Stay to data fields through the Lodgify integration to personalise guide details and Message Hub messages for each reservation. This will then mean any values/data for these fields set in Lodgify will pass in to Touch Stay and can be added to your guide content. The available fields are as follows:

  • Booking source

  • Number of Guests

  • Booking ID

  • Guest first name

  • Guest last name

  • Arrival date

  • Departure date

  • Guest contact phone number*

  • Guest contact email address*

*Some OTAs and booking sites do not always provide the guest email address or phone number so the availability of these two data points are dependent on the platform the guest used to complete their booking. A reservation needs at least one of the two to create an invitation (see Which reservations create invitations).

To connect any of these fields, go to the Map data tab on the Integrations page and click Add new mapping.

Map data tab

From here you can select the Lodgify field to connect, choose a name for your custom field code and any substitute value. Substitute values are used in the case of data missing when the field code is used — see Field Codes Explained for more detail about field codes.

Once the custom fields have been created, then any future reservations which sync from Lodgify will have the relevant data automatically populated on the invitation record.

Step 6. Guide sharing options

There are two main ways to send your guide link to guests.

To automatically share a trackable guide link for each booking you can send email or text message guests through Message Hub, Touch Stay's messaging tool. The reservations from Lodgify will then follow your message workflow you setup and any default settings as defined by the templates that you create.

See the Message Hub help articles for how to add message templates and create a notification journey for your guests.

If you are using the Lodgify message inbox to communicate with guests you can copy and paste the relevant guide link into your Lodgify message templates using the Quick share link. In the new Hub, open the guidebook, click Invite guests and copy the Quick share link (legacy Hub: the Invite & Share tab on the Guides page).

Step 7. Sync reservations

Once your guides are ready then you can start syncing with Lodgify.

  1. Go to the Sync Reservations tab on the Integrations page.

  2. Choose whether to import all your future reservations or only new ones. If you are new to Touch Stay then choose All reservations. If you were already using Touch Stay messaging before you connected your Lodgify account, it's best to choose New reservations only to prevent duplicate reservations being imported.

  3. Select the guides you want to sync using the checkboxes — Select all is at the top, next to Sync Selected — and click Sync Selected.

Sync tab

If you have selected "All reservations" then all your future dated reservations from Lodgify will now be imported and will generate invitations and schedule email or SMS messages based on the booking details and your Touch Stay message templates. All future reservations for Lodgify units matched to Touch Stay guides with the sync active will also now be imported automatically.

Which reservations create invitations

A Lodgify reservation creates an invitation in Touch Stay only when both of these are true:

  • Its status in Lodgify is Booked. Tentative and Declined reservations are treated as cancellations, and Open reservations aren't imported.

  • It has a guest email address or a guest phone number. A reservation with neither is skipped, and running a re-sync won't import it.

This applies to manual bookings you create in Lodgify as well as bookings from channels.
