Check-in and Check-out Times

Display check-in and check-out times on your guide cover page and use field codes to keep arrival and departure information consistent across your guides and guest messages.

What is the Check-in and Check-out Times feature?

The Check-in and Check-out Times feature allows you to display arrival and departure information directly on your guide cover page.

Guests can see this information as soon as they open the guide, without needing to search through your content.

You can also use standard field codes to display check-in and check-out times anywhere in your guide content or guest messages.


Why use it?

This feature helps you:

  • Keep check-in and check-out times consistent across all guides

  • Avoid manually updating times in multiple places

  • Display important arrival and departure information immediately

  • Use the same information in guide content and guest messages


Set default check-in and check-out times for all guides

Template-level settings are useful if most of your properties use the same arrival and departure times.

Steps

  1. Go to Settings → Preferences

  2. Find Check-in and Check-out Times

  3. Click Edit

  4. Enter your preferred:

    • Check-in time

    • Check-out time

💡 Default times

  • Check-in: After 3:00 PM

  • Check-out: Before 10:00 AM

You can adjust these times to suit your properties.

5. Choose whether to display the card on your guide cover page:

  • Enabled = show the card

  • Disabled = hide the card

When enabled, a check-in/check-out card appears on the guide cover page.

This helps guests quickly find essential arrival and departure information without needing to browse through the guide.


Override check-in and check-out times for a specific guide

If a property has different check-in or check-out times, you can override the guide level

Steps

  1. Go to the Guides page

  2. Open the guide you want to update

  3. Go to Guide Details

  4. Scroll down to Check-in and Check-out Times

  5. Click Edit

  6. Set Use template level settings to No

  7. Enter the check-in and check-out times for that guide

  8. Choose whether to display the card on the guide cover page:

    • Enabled = show the check-in/check-out card

    • Disabled = hide the card

  9. Click Save

💡 Tip

When Use template level settings is set to No, the guide will use its own check-in and check-out times instead of the account-level settings.


Use check-in and check-out times field codes

Two standard field codes are available:

  • {{checkin_time}}

  • {{checkout_time}}

You can use these field codes in:

  • Guide content and topic descriptions

  • Touch Stay email templates

  • Touch Stay SMS templates

This means you only need to update the time once, and it will automatically update everywhere the field code is used.

Using Message Hub

If you're using Message Hub, these field codes will automatically populate with the check-in and check-out times you've configured.

This means you won't need to manually update arrival and departure times in your guest messages whenever they change.

Not using Message Hub?

You can still use these field codes anywhere within your guide content.

Simply add:

  • {{checkin_time}}

  • {{checkout_time}}

wherever you'd like guests to see your arrival and departure times.



How guests see check-in and check-out times

Quick Share links

The Quick Share link gives anyone you share it with permanent and unrestricted access to your full guide.

Guests will see:

  • Check-in time

  • Check-out time

The card appears on the guide cover page.

Invitation links

Invitation links are unique guide links created for individual reservations.

They are automatically generated when:

  • You use Message Hub to send invitations to guests

  • You use one of our integrated PMS partners, and reservations sync into Touch Stay

Unlike Quick Share links, Invitation links can personalise the guide experience using reservation details.

Guests may see:

  • Check-in time

  • Check-out time

  • Arrival date

  • Departure date

This allows Touch Stay to display relevant information based on the guest's reservation and stay dates.


FAQ

  1. Can I use different times for different properties?

    Yes. You can override the account-level settings on individual guides.

  2. Can I still display check-in and check-out times inside my guide?
    Yes. Use the standard field codes:

    • {{checkin_time}}

    • {{checkout_time}}
      You can place them anywhere in your content or guest messages.

  3. Do I need to update my existing content?
    If you currently use custom field codes for check-in or check-out times, we recommend updating them to:

    1. {{checkin_time}}

    2. {{checkout_time}}
      This will make future updates easier to manage.

  4. Can I hide the card on the guide cover page?
    Yes. Set the feature to Disabled, and the card will not appear on the cover page.
