Access Level controls whether a piece of content is visible to a guest all the time, or only around the dates of their stay. It's how you keep things like door codes and alarm instructions hidden until a guest actually needs them.
ℹ️ This article covers the new Hub. If you're still on the legacy Hub, see How to update the Access Level for sections of the guide.

How to set the Access Level on a topic
Go to Content Hub → Content library.
Expand the category and subcategory that holds your topic.
Open the topic, or choose Edit from its options menu.
In the topic editor, open the Visibility tab.
Under Access level, pick the option you want.
Click Save Changes in the bar at the bottom.
📌 New topics are set to Always visible by default, so you only need to change the ones you want to restrict.
The two options explained
Option | What it means |
Always visible | Unlimited Access. Anyone with the guide can see this topic at any time. |
Visible only during the stay | Limited Access. The topic only appears within the guest's access window. |
📖 More on the concept: Limited and Unlimited Access explained
What your guest actually sees
This is the part worth knowing, because it's easy to picture it wrong.
For a guest opening a dated personal invitation, a Visible only during the stay topic is simply not there before their access window opens. There's no padlock, no teaser and no greyed-out row — the topic is absent, then appears normally once the window opens.
💡 Tip: If restricting a topic leaves its subcategory or category with nothing else in it, that guest sees no content there at all. Worth checking your preview if you've locked down a whole area.
When limited content unlocks
The access window on an invitation runs from the arrival date minus the lead time through to the departure date.
If the invitation has no lead time set, limited content is available immediately.
After departure, limited content is hidden again.
Content set to Always visible can stay available after departure, if that invitation allows post-departure access.
📌 This date check applies to invitation-based guest views. A guide opened through a general link rather than a dated invitation doesn't go through it.
Categories and subcategories
In the new Hub, Access level is set on topics, not on categories or subcategories. The edit options for a category or subcategory cover the title, translations and icon — there's no Access level control, and there's no bulk action for it either.
So to restrict a whole section, set each topic inside it individually.
The property address is separate: it has its own Address access level. See Address access level below, or How to update your property details.
What else is on the Visibility tab
Besides Access level, a topic's Visibility tab has three more settings:
Shown in guidebooks: share one topic across several guidebooks.
Tags: the topic can appear in guidebooks that are tagged, or for guests whose invitation has the tags you pick here.
Hide on this guidebook: only shown when you open the topic from inside a guidebook. Switch it on to hide the topic on that guidebook only.
Address access level
You can also set an access level for the property address and its position on the map. The address isn't a topic, so you set it for each guidebook on the Property info tab, not in Content Hub.
Open your guidebook and go to the Property info tab.
In the Address settings card, find Address access level.
Choose Always visible, Visible only during the stay or Always hidden.
Click Save Changes in the bar at the bottom.
Always visible: the address and map position are always shown.
Visible only during the stay: shown only within the guest's access window (see When limited content unlocks).
Always hidden: the address and map position are not shown.
If you have more than one guidebook, the card also has a switch to use your Guidebook defaults. While it's on, the options are hidden and the guidebook follows the defaults; switch it off to set the access level for this guidebook only.
If your guidebook still uses the legacy design, the same three options are called Map and address visibility and sit in the Location & Address card on the same tab.
