Adding a new guide: which camp are you in?

We’re often asked the best way to set up a new guide. The answer is that it depends 😉 Here are some scenarios to help you decide. If you’re not sure, email us at [email protected] and we’ll help!

The new Hub and the legacy Hub share content in different ways, so each has its own section below.

Table of contents:

In the new Hub

The new Hub has no customisations. Instead, you decide which guidebooks show each topic, and give a guidebook its own copy of a topic when it needs something different.

The tools you'll use

  • Clone existing guidebook: creates a new guidebook whose topics stay shared with the original. Settings, branding and cover photos are copied. See How to create a new guidebook.

  • Shown in guidebooks: on a topic's Visibility tab, pick exactly which guidebooks show it. See Share one topic across guidebooks.

  • Tags: create a tag in Account library → Tags and assign it to guidebooks. Every guidebook with the tag shows the topics that carry it. See Tags On Guides Explained.

  • Duplicate topic: open a shared topic inside a guidebook and choose Duplicate topic to make a separate copy for that guidebook only. Your other guidebooks keep the original.

  • Remove from guidebook: hide a shared topic from one guidebook without deleting it. See How to hide a topic from a guidebook.

Which approach fits your setup?

What to do in the new Hub

1. My new guide is going to be very similar to the first

Create it with Clone existing guidebook. For topics that differ slightly, like the Wi-Fi password, open the topic in the new guidebook, choose Duplicate topic and edit the copy. Then hide the original in the new guidebook, otherwise guests see both versions (for example two Wi-Fi passwords). Open the original topic (the one your other guidebooks still use), choose Edit Shared content, switch on Hide on this guidebook on its Visibility tab and click Save Changes.

2. My new guide is very similar but in a different area/town

Clone it and use Duplicate topic for small differences, then hide each original in the new guidebook: open it, choose Edit Shared content and switch on Hide on this guidebook on its Visibility tab. For local recommendations, create a tag for each area, assign it to the guidebooks there and apply it to those topics. Then remove the first area's local topics from the new guidebook.

3. My properties are different in style but in the same area

Create a tag for your local area content, assign it to all these guidebooks and apply it to the local topics. Create each property's own content inside its guidebook: a topic you create there belongs to that guidebook only.

4. My properties are spread across several buildings or resorts

Create a tag for each building or resort and assign it to the guidebooks there, plus area tags if the locations differ. Apply the tags to the matching topics, and use Duplicate topic for details that differ between units, then hide each original in that guidebook: open it, choose Edit Shared content and switch on Hide on this guidebook on its Visibility tab.

5. My properties are all pretty unique and in different locations

Start each guidebook with Start from scratch, so it has its own content. For topics every guidebook needs, like house rules or contact details, add all your guidebooks under Shown in guidebooks, or create a tag assigned to all of them.

Remember, you can combine tags, Shown in guidebooks and Duplicate topic to fit any setup 🙌

In the legacy Hub

In the legacy Hub, you shape each guide with tags, customisations and visibility rules.

Example 1: my new guide is going to be very similar to the first

Think of a scenario where you have two properties in the same town or on the same site. Most of the info is the same, except maybe some small details like the WiFi password will be different. In this case you can use a customisation to show the correct WiFi password for each property without changing anything else.

Example 2: my new guide is very similar but located in a different area/town

Like scenario 1, things like the WiFi password are going to be different, but you’ll also likely be recommending different restaurants.

Again you can use customisations to make small adjustments for each property.

For your restaurant recommendations or other info that is relevant to the area you can use tags. Tags let you group content together under a tag and send that content to a group of guides instead of all of your guides.

Example 3: my properties are different in style but located in the same area and can share the same local area content

You’ll want to create a new tag for each property and another tag for the local area. Then you can create the property content (categories, sub-categories, topics) and apply the new tag to them. Do the same for the local recommendations.

For details that are specific for each property like the WiFi password, you can add a customisation. You can also tweak what is shown on each guide using the Visibility rules.

Example 4: my properties are spread across a number of buildings or resorts. The properties within each building/resort are very similar but the buildings/resorts themselves are quite different.

You’ll want a new tag for each building/resort and possibly a separate local area tag(s). Then you can create content for each building/resort with all the relevant categories, subcategories and topics.

You can use customisations to adjust specific content (like the WiFi password) for each guide. You can also tweak what is shown on each guide using the Visibility rules.

For the local area content, it will depend on where your buildings/resorts are located, you might be able to simply use the same building/resort tags but if not then just create new tags for each area and apply them to the relevant guides.

Example 5: my properties are all pretty unique and in different locations.

You’ll need a new tag for each property. For any category, subcategory or topic you want on all your guides, you can apply the All Guides tag. For anything that is property specific, apply your property specific tag and remove the All Guides tag.

You can use customisations to adjust specific content (like the WiFi password) for each guide. You can also tweak what is shown on each guide using the Visibility rules.

Remember, no matter what you want to do, using a combination of tags, customisations and visibility rules will make it possible 🙌
