Tags On Guides Explained

Tags let you push content to many guidebooks at once. They're optional — useful mainly when managing multiple properties and you want to distribute content efficiently without adding guidebooks one by one.

In the new Hub, tags are found in the Account library → Tags section.

Table of contents:

How tags work

The concept is straightforward:

  1. You create a tag (e.g. "Beach properties")

  2. You assign the tag to guidebooks (e.g. your three beach rental guidebooks)

  3. You apply the tag to topics via each topic's Visibility tab

  4. Every guidebook carrying that tag automatically receives those topics

When you update a tagged topic, the change flows to every guidebook associated with that tag. When you add a new guidebook to a tag, it automatically picks up all the content linked to that tag.

Two types of tags

The new Hub has two types of tags:

Tag type

What it is

How it's created

Guidebook tag

A tag automatically created for each guidebook, named after the guidebook itself. Used for simple guidebook-specific content assignment.

Automatically created when a new guidebook is created. You don't see or manage it in the Hub.

Regular tag

A reusable tag you create yourself to group and distribute content across multiple guidebooks.

Manually created by you in the Account library → Tags.

💡 Tip: You don't need to think about guidebook tags day-to-day. They're created and managed automatically behind the scenes. Regular tags are the ones you'll create when you want to share content across properties.

Where to find tags

Tags appear in two places:

1. Account library → Tags

This is your central tag management page. It lists your regular tags (guidebook tags aren't shown here). Each tag shows the guidebooks it's assigned to, and you can search by tag or guidebook name.

2. Guidebook Content tab → tags row

At the top of each guidebook's content screen, a tags row shows the regular tags assigned to this guidebook. You can add or remove tags right there: the change saves immediately and a message confirms it. If the guidebook has no tags yet, you'll see No tags assigned.

Create a tag

  1. Open Account library → Tags.

  2. Click Create new tag.

  3. Enter a Tag name (e.g. "Beach properties", "Kitchen hardware", "London attractions") and choose a Tag color.

  4. Under Guidebooks, choose the guidebooks it applies to. Optionally, under Select topics to include, pick the topics that carry it.

  5. Click Save.

💡 Naming tip: Choose tag names that describe the content group or property type, not individual guidebook names. This makes tags more reusable as you grow. For example:

  • ✅ "Kitchen appliances" — reusable across any property with a kitchen

  • ❌ "Beach Retreat Villa stuff" — too specific to be useful on other guidebooks

Apply a tag to a topic

  1. Open the topic — either from the Guidebook Content tab or the Account library → Content Hub.

  2. Select the Visibility tab.

  3. Under Tags, choose the tags you want applied to this topic.

  4. The Shown in guidebooks list updates to show which guidebooks will receive this topic through the selected tags (shown dimmed).

  5. Click Save Changes.

You can apply multiple tags to a single topic. The topic will appear in every guidebook that carries any of those tags.

Assign a tag to a guidebook

When you create a tag, you assign it to the guidebooks that should receive content linked to that tag. You can manage this from:

  • Account library → Tags — open a tag to see and edit its guidebook assignments

  • Guidebook Content tab → tags row — add a tag to this guidebook directly

Remove a tag from a guidebook

You can remove a tag from a guidebook without deleting the tag itself:

  1. In the Guidebook Content tab, find the tag in the tags row at the top.

  2. Remove it. The change saves immediately — there's no confirmation step, so check first which content uses the tag.

The tag is removed from this guidebook only — the tag still exists, and the content remains available to other guidebooks that carry it. Content that reached this guidebook only through that tag no longer shows here. You can re-add the tag at any time.

Only topics can have tags

Tags are applied to topics only. Categories and subcategories cannot be tagged — they don't hold content (text or media) and are used purely for organising your topics in the guidebook menu.

Do I need tags?

It depends on your setup:

Your situation

Do you need tags?

One guidebook

No. Your guidebook tag is created automatically. You can manage everything from the Guidebook Content tab.

Two guidebooks with mostly different content

Probably not. Use direct guidebook assignment on the Visibility tab instead.

Multiple guidebooks with shared content (e.g. same local area, same house rules)

Yes. Tags let you distribute and update content across many guidebooks at once without managing them individually.

Many guidebooks across different locations or property types

Definitely. Create tags by location, property type or content theme to keep things organised.

Tags are a power tool — they're there when you need them but won't get in your way if you don't.

A practical example

You manage five properties — three near the beach and two in the mountains.

  1. You create two tags: "Beach properties" and "Mountain properties".

  2. You assign your three beach guidebooks to the "Beach properties" tag and your two mountain guidebooks to the "Mountain properties" tag.

  3. You create a topic called "Best beach walks" and apply the "Beach properties" tag on its Visibility tab. It appears in all three beach guidebooks automatically.

  4. Later, you update the walking routes. You edit the topic once — the change appears in all three beach guidebooks instantly.

  5. You add a sixth property — another beach rental. You assign the "Beach properties" tag to the new guidebook. It immediately picks up "Best beach walks" and all other beach-tagged content. No manual copying needed.

What's different from the legacy Hub?

Legacy Hub

New Hub

Tags were the primary way to organise and distribute content — required even for single-guidebook accounts

Tags are optional — only needed when distributing content across multiple guidebooks

Every topic needed at least one tag to appear in a guidebook

Topics can be assigned directly to guidebooks via the Visibility tab without using tags

Tag management spread across Content Hub and individual guide settings

All tags managed centrally in Account library → Tags

No visual indicator of active tags on a guidebook

Tags row at the top of the Guidebook Content tab shows the guidebook's tags

Removing a tag required navigating into topic settings

Add or remove a guidebook's tags directly from the Guidebook Content tab
