How to import properties from your PMS: content options and plan limits

When you connect a property management system (PMS), the Import tab turns the properties that aren't in Touch Stay yet into new guidebooks. In the New Hub you also choose what content each new guidebook starts with, and your trial or subscription decides how many guidebooks you can add.

ℹ️ This article covers the New Hub.

Table of contents:

Before you start

  • Connect your PMS first. Until an integration is connected, Integrations opens on the Partners tab. See Does Touch Stay integrate with my property management system (aka PMS or PMC)?

  • The Clone content and Independent content options only appear in the New Hub. In the Legacy hub, the Import tab doesn't show them.

  • Users with the Viewer role can see the list of properties but can't import them.

How to import properties

  1. Open Integrations from the left sidebar, then click the Import tab.

  2. Choose Clone content or Independent content. They're explained in the next section. With Clone content, also pick the guidebook to copy from in the Choose a guidebook to clone from menu.

  3. Tick the properties you want to import. Use the search box to find a property by name.

  4. Click Import Selected.

  5. A progress bar shows while the import runs. When it finishes, a message tells you how many guidebooks were created, and which content option was used. If any properties failed, a second message tells you how many. The new guidebooks appear on your Guidebooks page.

💡 The list only shows properties that aren't matched to a guidebook yet, so properties you've already matched or imported aren't listed. Depending on your system, Touch Stay may call them rooms, room types or listings.

Choosing the content for new guidebooks

Above the list, choose how each new guidebook gets its content.

Clone content

Each new guidebook gets its own copy of the topics in the guidebook you choose. Use it when your new properties are similar to a guidebook you've already built.

  • Only topics that belong to the chosen guidebook alone are copied. Topics shared with other guidebooks aren't copied.

  • Topics you've mapped to your PMS data on the Map data tab aren't copied either. The new guidebook is linked to the same topic instead, and the PMS data for the new property is applied to it.

  • Clone content is selected by default. Import Selected stays disabled until you choose the guidebook to copy from. Guidebooks you've deleted aren't offered.

  • If you don't have a guidebook yet, Clone content can't be selected. Touch Stay switches to Independent content and shows Create a guidebook first to clone content from it.

Independent content

Each new guidebook gets its own content from the start, and edits stay local to that guidebook. Touch Stay adds its starter content to each one, which you can then edit freely.

Whichever you choose

Each imported guidebook also gets a tag named after the property. If a tag with that name already exists, a number in brackets is added to the name. See Tags On Guides Explained.

Trial and subscription limits

Touch Stay checks your guide limit when you click Import Selected, before anything is created. It counts the guidebooks you already have plus the properties you selected.

Trial accounts: one guide

A trial account can have one guide:

  • With no guidebooks yet, you can import one property. If you select more than one, the import doesn't start.

  • With one guidebook already, you can't import more.

In both cases a message explains that you're on a trial account, which only allows one guide, and that you need to subscribe first to add more. Click Take me there to go to your Billing page.

Subscriptions

If importing would take you above the number of guides in your subscription, the import doesn't start. The message tells you how many additional guides your subscription allows. Select fewer properties, or click Take me there to upgrade your plan on your Billing page first.

How many guides you can have depends on your plan and is shown on your Billing page. See Managing Your Subscription.

Good to know

  • The import runs in the background. If you import more than 10 properties at once, you can leave the page and the progress bar shows again when you come back in the same browser.

  • Properties that fail to import stay in the list, so you can run the import again. If a property keeps failing, contact support.
