General settings – guest data processing, notifications & custom domain

Set how you use the personal data guests share with you, so you stay compliant and guests see the right consent options during check-in.

Set how you use the personal data guests share with you, so you stay compliant and guests see the right consent options during check-in. This article also covers the Notifications and Custom domain sections of General settings.

What it does

General settings → Guest data processing controls the consent options guests see during Guest Registration check-in. The settings sit under the heading How do you use guest data?

This section only shows if your account has Guidebook 2.0 switched on.

How to set it up

  1. Go to General settings → Guest data processing.

  2. Set Marketing purposes if you plan to use guest data for marketing; if set to Yes, guests see a marketing consent toggle. This is off (No) by default.

  3. If you turn on Marketing purposes, add a Link to your Privacy policy — this field only appears once marketing is on, and it's required if you collect data for marketing.

  4. Under OTA compliance, review Auto-hide marketing consent, which is on by default and hides marketing consent for guests who arrive through an OTA booking, so their data isn't used for marketing.

Good to know

  • These settings currently apply to Guest Registration only; a wider rollout across all guidebook forms is planned.

  • Consent for stay updates and non-marketing messages is always on. There's no setting for it.

  • Guests only see a marketing consent toggle during check-in if you've turned Marketing purposes on.

  • While Marketing purposes is off, the privacy-policy field is hidden and Auto-hide marketing consent is shown as off and locked. Both become available once you switch marketing on.

  • You can review your OTA rules any time from the OTA Compliance Centre link on this page.

Notifications

General settings → Notifications sets what you're notified about. These settings apply to your whole account.

  1. Go to General settings → Notifications.

  2. Under Guest Registration, switch Guest registered by Email on or off. It's on by default and saves as you switch it.

When it's on, you get an email each time a guest completes check-in through Guest Registration. It goes to the account owner's email address. It says who completed check-in and for which guidebook, with their stay dates and party size, and a link to their contact record.

  • These settings currently apply to Guest Registration only.

  • The email is only sent if Guest Registration is switched on for that guidebook and your plan includes it.

  • This section only shows if your plan includes Guest Registration and your account has Guidebook 2.0 switched on. Team members with the Viewer role can see it but can't change it.

Custom domain

General settings → Custom domain lets you use your own domain for your guidebook links instead of the default Touch Stay address.

  1. Set up the DNS record for your domain first. Touch Stay checks it when you connect. See How to set up a custom domain for your guide links.

  2. Go to General settings → Custom domain.

  3. Under Your domain, enter your domain, for example guide.yourdomain.com, and click Connect.

  4. The status shows Pending SSL validation while Touch Stay sets up the certificate. If it shows a Certificate validation TXT name and value, add them as a TXT record in your DNS. Use the copy buttons.

  5. When the status changes to Connected, your guidebooks are accessible via your domain. Until then they stay on the usual Touch Stay address.

  • Your domain must include a subdomain, such as guide.yourdomain.com. It can't start with www. or end with touchstay.com.

  • You can't connect your own domain while any guidebook uses a Custom Sub-domain. Remove the Custom Sub-domain first.

  • To stop using your domain, click Disconnect and confirm. Your guidebooks will no longer be accessible via that domain.

  • Custom domain depends on your plan. If yours doesn't include it, you'll see an upgrade notice instead.
