Track Integration

Touch Stay integrates with Track so you can take the manual workload out of your day. Connect your Touch Stay and Track accounts to import your property inventory, sync reservations and easily share your guide link with guests.

Track and Touch Stay

Table of contents:

Step 1. Connect your Touch Stay & Track accounts

First, you need to obtain your API details from Track.

Log in to your Track account (make sure you have a role that allows access to company configuration, including API key access).

  1. At the top right of the homepage, click on the gear icon to go to the configurations page then click on the 4th tab, labelled "company setup".

  2. On the bottom left side of the page, click on the link for "API Keys". You will see a screen of all API keys on your system. To create a new API key, click on the "+ Server Key" button at the top right.

Track API keys
  1. Enter the name of the new API key, and then save it to generate the keys. Copy the Key and the token secret.

  2. In Touch Stay, go to Integrations in the left sidebar, open the Partners tab and click "Connect" underneath the Track logo.

  3. Enter your key in Track integration key, your secret in Track token secret, and your domain in Track domain name, then click Save. Your Track domain name is the unique part of your Track login URL, in this format: https://[domain_name].trackhs.com/

💡 If your Track account has more than one node, you'll then be asked to choose which node to connect.

Step 2. Match Track properties

Once connected, go to the Match tab to pair any existing Touch Stay guides to your Track properties. Use the drop-downs to select the correct Track properties for each Touch Stay guide. When complete, click Match Selected. If you don't have any to match, simply move on to the Import tab.

Step 3. Import Track properties

If you have any remaining unmatched units from Track go to the Import tab to import those into Touch Stay. Simply check the ones you want to import and click the Import Selected button. If you don't want to import any, or don't have any remaining, simply move on to the next step.

Import tab

Touch Stay will import the following and create a guide record for each:

  • Property Name

  • Property Address

  • Property photo (very small images are skipped)

Each unit imported will create a new Touch Stay guide.

During the import process you will see a blue progress bar. If you have a lot of properties it may take several minutes to complete, if you prefer, you can just click away and come back later to check on the progress. Perfect time to go and make a cup of tea ☕.

Once the process has finished your connection with Track will be complete!

Step 4. Complete guide creation (new Touch Stay customers only)

Matching or importing rentals won't automatically sync reservations from Track, so now is the time to check or create the content of your guides and make sure they're in tip-top shape and ready to share with your guests.

If you're new to Touch Stay then check out the Getting Started page for hints and tips on the quickest way to build out your content. If you have multiple guides, then be sure to read about Tags to get your content set up in the most efficient way.

Step 5: Personalisation settings

You can map Track property and reservation data fields to Touch Stay custom fields. These can then be inserted into guides and guest messages to personalise them for each reservation. We have a separate article covering how to map and sync property data for further guide-level personalisation.

The following reservation data is imported automatically with each reservation:

  • Guest first name

  • Guest last name

  • Arrival date

  • Departure date

  • Guest contact phone number*

  • Guest contact email address*

*Some OTAs and booking sites do not always provide the guest email address or phone number so the availability of these two data points are dependent on the platform the guest used to complete their booking.

These Track reservation fields are also available. They are optional, so they only come through once you map them to a Touch Stay custom field:

  • Door code

  • Unit Id

  • Unit Code

  • Unit Name

  • Early Arrival

  • Late Departure

  • Arrival Time

  • Departure Time

  • Nights

To connect any of these fields, go to the Map data tab on the Integrations page and click Add new mapping.

Map data tab

Next, choose a name for your custom field code and any substitute value. Substitute values are used in the case of data missing when the field code is used — see Field Codes Explained for more detail about field codes. Click Save when done. Repeat this step for any other available field you want to map over to Touch Stay.

Step 6. Guide sharing options

There are two main ways to send your guide link to guests.

To automatically share a trackable guide link for each booking you can send email or text message guests through Message Hub, Touch Stay's messaging tool. The reservations from Track will then follow your message workflow you setup and any default settings as defined by the templates that you create.

See the Message Hub help articles for how to add message templates and create a notification journey for your guests.

If you are using the Track message inbox to communicate with guests you can copy and paste the relevant guide link into your Track message templates using the Quick share link. In the new Hub, open the guidebook, click Invite guests and copy the Quick share link (legacy Hub: the Invite & Share tab on the Guides page).

Quick share link

Step 7. Sync reservations

Once your guides are ready then you can start syncing with Track.

  1. Go to the Sync Reservations tab on the Integrations page.

  2. Choose whether to import all your future reservations or only new ones. If you are new to Touch Stay then choose All reservations. If you were already using Touch Stay messaging before you connected your Track account, it's best to choose New reservations only to prevent duplicate reservations being imported.

  3. Select the guides you want to sync using the checkboxes — Select all is at the top, next to Sync Selected — and click Sync Selected.

Sync tab

This process can take several minutes to complete depending on the number of reservations active in your Track account. There's a progress bar but you can click away from the screen and come back to check on progress later.

If you have selected "All reservations" then all your future dated reservations from Track will now be imported and will generate invitations in Touch Stay.

All future reservations will also now be imported automatically. If you have created Message Hub message templates then each invitation will have the relevant email or SMS messages scheduled, based on the booking details and your Touch Stay message templates.
