How To Share Your Guide With GuestsThere are 2 primary ways you can share your Touch Stay guide with your users/guests. The first, and simplest, is to use the Quick Share link which provides full and unrestricted access to your guide to anyone with that link. You can then simply add this link to your existing communication workflow such as emails or message templates for use in Airbnb, VRBO etc. The second method is to create individual invitation links for each guest, this then allows greater control over the link, such as hiding parts until just before a person’s reservation begins or having the link expire when they leave.

The Quick Share link explainedEach book has its own unique link called the “Quick Share” link. It will always be the same link for that specific book. It’s a fast and easy way to send your guests your book, particularly where you have a large business with lots of guests. Using the Quick Share You simply copy the Quick Share link and send it! Or, if you have a PMS or email workflow/template, just place the Quick Share link in to that process so that you don’t have to keep copy/pasting it to future guests.

How can my guest view the pack when they’re offline?Touch Stay is a Progressive Web App (PWA) meaning your guests can easily save the guidebook to their mobile device for offline viewing. When they first access the link to your guidebook, or reload the page, they will be prompted to add your guidebook to their home screen and this will save it to their device. The Lead Time explainedThe Lead Time is set when creating invitations and works in conjunction with the Access Level of your topics, it determines the amount of time prior to the Arrival Date that your invited guests will have full access to your guide. If you are happy for your guests to have full access as soon as you share the link with them, then you only need to set the Lead Time as Unlimited (which is the default) and do not need to worry about Access Levels at all.

Limited and Unlimited Access explainedThe Access Level (Limited versus Unlimited) determines when information is visible to your guests. Note, this is only relevant if you use invitation links. If you use the Quick Share link, the Access Level of topics is not relevant because a person has access to everything all of the time. And even when using invitations, you can set the link to be permanent and unrestricted or have an “unlimited” Lead Time, both of which also make the Access Level of topics irrelevant.

How to update the Access Level for sections of the guideYou can update the Access Level for any content at Topic level, Subcategory level or Category level. You can also set the Access Level for the address on the homepage and location map. Topics Update individual Topics in Content Hub by clicking the padlock icons in the Access Level column to toggle the status. A locked padlock is Limited Access: An unlocked padlock is Unlimited Access: Subcategories & Categories Update the Access Level for entire Subcategories and Categories by using the option in the 3 dots menu for the relevant Subcategory or Category.

My guests say they don’t receive the invitation email, what can I do?Ask them to check their junk mail folder and add noreply@touchstay.com to their safe senders list, we do everything we can to avoid spam filters but we can’t avoid them completely. If they still can’t find it then please send us a message through the Support tab and we can look into it.

How Does the PWA Prompt Appear on my Phone?How the prompt appears on your phone depends on what type of phone you’re using. Below, you’ll find how it works on Android and iPhone. How to save a list of your past guests/usersYou can download a full list of all your invitations in either .csv or .xlsx format from the “Downloads” option on the Guides list page: Note this will only include invitations still present in the Invitations table found on the Memo page or the “Invite & Share” tab for each guide. Any invitations deleted from the table won’t be included in the download, be sure to download and save them before deleting if you want to keep a full record.

How to create a QR code for your guideWhat is a QR code? A QR code is a type of barcode that can be used for links to websites: you scan the code with your smartphone and it then opens the link in your web browser, without the need to type anything. QR codes are becoming more and more popular and, with most smartphones now having a QR code reader built into their camera, they’re even easier for your users/guests to use.

How to print a hard copy of your guideIf you need a hard copy of your Touch Stay guide then you can generate a PDF for printing out. There are 2 places where you can do this. On the Guides list page, use the 3 dots menu for each guide in the list to find the “Download PDF” option OR On the Guide Details page (click the Guide name from the Guides list page), use the 3 dots menu at the top right, next to the “Preview Guide” button: Once you have the PDF copy saved, then you can then print out using your regular PDF viewer’s print function.

Message template to use when sharing with guestsYou can either share your Touch Stay digital guidebook by pasting the link into your current communication flow, or by setting up scheduled email/SMS alerts in Memo. How to Upload Reservations from CSVWhat does the CSV importer do? The CSV importer allows you to upload reservations in bulk and automatically send out your Memo invitations to those guests. This is useful if your booking system is able to generate a CSV report of reservations, as you can then simply import them into Touch Stay and the Memos will send out automatically. If you would like to use this feature, then please contact support to have it activated in your account.

How to download deep links to sections within your guidesYou can use the “Downloads” option on the Guides list page to download a full list of the deep links to the Subcategories/Topics in all of your guides in either .csv or .xlsx format. Troubleshooting Safari We’ve had some reports of Safari blocking the download as a “pop-up”, keep an eye on your browser address bar when using the download action and be sure to approve any pop-up blocker messages.

How to find deep links and QR codes to sections in your guidesEach Category, Subcategory and Topic in your guide has its own deep link which will take the user directly to that specific section. This can be used when answering guest questions about a particular subject, or providing a link in an email or other communications to highlight a specific section. You can also create QR codes for these deep links, which can be useful for things such as appliance instructions, where you can leave a QR code stuck to the relevant device.

How can I see if my users/guests are viewing my guidesThe Guides list page shows a view count for each of your guides. This value is the total views of the Quick Share link plus any invitation links for each guide. You can update the period the view count applies to from the “Views” drop-down at the top of the table. You can also apply the view count to the “Sort by” action, by finding the option in the drop-down, to see your most or least viewed guides.

How to share your guidebook with guests via your SuperControl accountIf you’re a SuperControl customer, you can insert a Quick Share link to the relevant guidebook into your automated communications with guests. Guests will receive the link in scheduled emails that SuperControl already manages for you. How to check the Access Level for topicsWhen limiting access to certain topics, you will likely want most of your topics to remain Unlimited Access and only a handful of them to be Limited Access. The easiest way to check that you have the correct topics set for Limited Access is by using the filter at the top right of Content Hub. Can I change my Quick Share link?The short answer is no, the Quick Share link is fixed and cannot be changed. However, depending on why you want to change it, there are alternatives available. If you want the link to be something a little easier on the eye, then see this article about creating branded links. If you want the convenience of the Quick Share link but need the flexibility to change it (e.g. once a season) then you can create an invitation link to use instead.

How to share your guidebook link on booking site messaging platformsThere’s a high chance that you’re using either Airbnb or Vrbo (or both!) to connect with new guests and source bookings. Sharing your guidebook link using OwnerRez and AirbnbTouch Stay is integrated with OwnerRez. This means that we can import your properties from OwnerRez and automatically send guidebook invitations to your confirmed bookings. If most of your guests book direct, and you primarily communicate via their personal mobile number and email address, then this process is fairly simple.
